Privacy Policy

ClearFarewell is the trade name of VectraSEO LLC, doing business as ClearFarewell ("VectraSEO," "we," "us") — the company that operates this service and is responsible for the personal information described here. This page explains what information we collect when you use ClearFarewell, why we collect it, and the choices you have. We wrote it in plain language on purpose — if anything here is unclear, that's a bug; tell us and we'll fix the wording.

The short version

  • We collect only what's needed to run the checklist, document comparison, and tracker features you use.
  • We do not sell your personal information, and we do not run advertising cookies or ad-targeting on this site.
  • We use Google Analytics to count visits and see which pages help people, configured so it can't feed ad targeting. That's the only third-party measurement on the site.
  • Documents you upload are used to help you — a copy is sent to our AI vision provider (Anthropic) to read line items off the page, and nowhere else, unless you separately opt a document into the anonymized Funeral Price Index.
  • You can ask us to delete your account and data at any time by emailing hello@clearfarewell.com.

Information we collect

Information you give us directly:

  • Your email address, to create an account and send you a one-time sign-in link (we never ask you to create or store a password).
  • Case details you enter during onboarding — your relationship to the deceased, state, disposition leaning (burial/cremation), tradition profile, and similar planning context. This is family-planning information you provide to personalize your checklist; it is not medical or health information about the deceased.
  • Documents you upload — photos or scans of a funeral home's price list or quote. These may contain the funeral home's business information and itemized pricing. Please avoid uploading documents that contain your Social Security number or other government ID numbers; ClearFarewell does not need them and does not knowingly request them.
  • Tasks you complete, notes on the document & notification tracker, and any letters you generate from a template.
  • If you invite family members to a shared case, their email address (so they can join) and their activity within that shared case.
  • If a funeral home submits context or a correction through our public right-of-reply form, the business name, contact person, and note they choose to provide. That submission is business information the funeral home is voluntarily publishing, not consumer personal information.

Information collected automatically:

  • Standard server logs (IP address, timestamps, request paths) for security and abuse prevention.
  • If you enable reminder notifications, a Web Push subscription endpoint tied to your browser/device, used only to deliver the reminders you asked for.
  • One authentication cookie that keeps you signed in.
  • Google Analytics cookies (for example _ga), which count unique visits and sessions and record which pages you viewed, how you arrived, your approximate location from your IP address, and general device/browser information. We use this to understand which pages actually help people — including on the free tools, which work without an account. We have turned off Google Signals and ad-personalization, so this data cannot be used to build an advertising profile of you or follow you across other sites. We do not use advertising or ad-retargeting cookies.

Information from payments: when you purchase the Complete or Family tier, Stripe (our payment processor) handles your card details directly — we never see or store your full card number. We receive confirmation that a payment succeeded, the amount, and an identifier we use to process refunds.

How we use your information

  • To create your checklist, tracker, and document comparisons.
  • To read the line items off an uploaded price list or quote, using an AI vision model, so we can show you a comparison with provenance for every figure.
  • To send the sign-in link you request, purchase confirmations, and — only if you opt in to reminders — nudges about upcoming deadlines.
  • To detect abuse (for example, fraudulent right-of-reply submissions) and keep the service secure.
  • To build and improve the Funeral Price Index (see below) from documents you've explicitly opted in.
  • To measure which pages and free tools people find useful, so we know what to improve.

We do not use your information to train third-party advertising models, run targeted ads, or build a profile of you for marketing purposes. We do not sell your personal information.

The Funeral Price Index

The Funeral Price Index is a public dataset of funeral pricing that makes fairness comparisons more accurate for families. It has two separate sources, and we want to be precise about which is which:

1. Prices funeral homes already publish. Funeral homes are required by the FTC's Funeral Rule to disclose an itemized General Price List, and many publish it openly on their own websites. We collect those published price lists and record the source URL and the date we captured it, so every figure can be traced back. This is business pricing information published by the businesses themselves — it contains no personal information about you, and it does not come from anything you upload.

2. Documents you choose to contribute. When you upload a price list or quote, you can separately choose to contribute that document's line items — anonymized — to the Index. Opting in is never required to use any part of the product, and you can decline per document. Nothing you upload enters the Index unless you opt that document in.

Anonymization here means: only aggregated statistics (metro area, disposition type, price category, and summary numbers like median and percentile price) are published. We do not publish your name, your case, the specific document you uploaded, or which family it came from. The aggregation is generated by a scheduled batch process, and the only family-supplied data feeding it is data you opted in.

Who we share information with

  • Service providers who process data on our behalf, under confidentiality obligations, and only for the purpose of running ClearFarewell: Amazon Web Services (hosting, storage, and email delivery), Anthropic (reading uploaded price-list images into structured line items), Stripe (payment processing), and Google Analytics (counting page visits and tool usage, with ad features disabled as described above).
  • Other members of your case, if you choose to share a case with family (e.g. siblings splitting tasks) — they can see the case's tasks, tracker, and documents, the same way a shared document folder would work.
  • The public, only for content that is inherently public by design: anonymized Funeral Price Index aggregates, and a funeral home's own right-of-reply submission about its own business (never your personal information).
  • Law enforcement or other parties, only if required by valid legal process, or to protect the safety, rights, or property of ClearFarewell or others.
  • If VectraSEO is ever acquired or merges with another company, your information may transfer as part of that transaction, subject to this policy's commitments continuing to apply.

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.

How long we keep information

We keep your account and case information for as long as your account is active, so your checklist, tracker, and documents remain available to you. If you ask us to delete your account, we will delete your personal information within a reasonable time, except where we need to retain limited records (for example, payment records) to meet legal or accounting obligations. Anonymized Funeral Price Index aggregates are not tied back to your account and are not deleted when you delete your account, since they no longer identify you or your case.

Security

We use administrative, technical, and organizational safeguards designed to protect your information — including encryption in transit, access controls, and a passwordless authentication design that avoids storing passwords at all. No system is completely secure, and we can't guarantee absolute security, but we take this seriously given the sensitivity of what people share with us during a hard time.

Your rights and choices

  • Access, correction, and deletion: email hello@clearfarewell.com to request a copy of your information, correct it, or delete your account. We will verify your identity (typically via your account email) before acting on the request.
  • California residents: depending on our size and activities in a given year, you may have rights under the California Consumer Privacy Act (CCPA) to know, delete, correct, and opt out of the sale or sharing of personal information, and not to be discriminated against for exercising those rights. We do not sell or share personal information as defined by the CCPA, so there is nothing to opt out of today. You can still submit access, correction, or deletion requests using the contact method above.
  • Notifications: you can revoke push-notification permission at any time through your browser or device settings, which stops future reminders.
  • Marketing email: we do not send marketing email separate from account and reminder notifications tied to your own case.

Children's privacy

ClearFarewell is not directed to children, and we do not knowingly collect personal information from anyone under 13. If you believe a child has provided us information, email hello@clearfarewell.com and we will remove it.

Changes to this policy

If we make a material change to how we handle your information, we'll update the effective date above and, where appropriate, let account holders know directly before the change takes effect. We won't apply a materially different policy to information we already collected without your consent.
